Operational complexity at scale
As Firesafe scaled its operations across the Channel Islands, maintaining visibility over quality, compliance and commercial performance across multiple live projects became more challenging.
With a growing number of surveys, installations, inspections and remedial works taking place simultaneously, management teams needed faster access to critical project information without increasing admin.
Firesafe recognised the need for a more efficient and connected way to monitor project activity — one that would let them review compliance records, identify risks, manage variations and provide real-time operational visibility, while maintaining the high standards expected by clients, regulators and third-party certification bodies.

A single source of truth
Firesafe operates in an industry where compliance, traceability and accuracy are fundamental requirements. Onetrace is the operational foundation, letting site teams capture structured data for surveys, inspections, installations and remediation activities.
As the volume of information increased, Firesafe Technical Manager Jason Fletcher recognised that the information being collected daily across projects contained valuable operational intelligence — data that could be used to improve quality assurance, compliance management, commercial control and project oversight.
Working closely with the Onetrace team, Jason began exploring how the platform’s APIs could surface that information. Starting with no formal software development background, he taught himself to use APIs, database structures and automation tools to create a connected dashboard environment — transforming operational data into meaningful management information, tailored specifically to Firesafe’s needs.
The Firesafe Team
Jason developed the dashboard environment using modern development tools, AI-assisted workflows and cloud infrastructure, enabling rapid deployment without extensive software development resources. What began as a local dashboard project quickly evolved into a comprehensive management platform hosted within Microsoft Azure, providing live operational visibility across the organisation.
Importantly, the goal was never to replace Onetrace or duplicate its workflows. Site teams continue to complete surveys, installations, approvals and reporting directly within the platform. Instead, the API integration extends the value of the structured data already being collected. As Jason explains:

Under Jason’s leadership, the dashboard environment has become a cornerstone of Firesafe’s operational strategy, evolving into a comprehensive business intelligence platform designed around Firesafe’s operational requirements. With dedicated dashboard views and daily, automated KPI reporting, management teams can see critical operational activities — letting them focus on exceptions, risks and actions needing immediate attention, so they can make faster decisions and proactively manage risks.

The Firesafe management team can now review installation records, photos, approvals and non-certified details more efficiently, helping them spot issues earlier and maintain high compliance standards across live projects. This means they can identify potential issues and take corrective action before they affect programme delivery or client satisfaction.
Commercial Control
One of the most significant benefits has been the improvement in commercial visibility. Using Onetrace Rates and Materials data, Firesafe can quickly assess variations, remediation requirements and project costs, reducing administration. What previously required manual calculation and spreadsheet analysis can now be achieved almost instantly.

Real-time project photography is displayed across live office dashboards, and automatically refreshed throughout the day, creating a visual connection between site operations—powered by the structured forms, consistent workflows, and reliable on-site adoption that Onetrace provides—and office teams.

For Firesafe, the biggest impact has been the ability to identify issues earlier and respond to them more quickly.
Management teams can instantly identify non-compliant details, open approvals, commercial variations, outstanding actions, project bottlenecks and quality assurance issues. They can also see site activity as it happens — from the first pin of the morning through to the final completion of the day.
