How Elite Fire Stop replaced fragmented systems with a platform their whole team actually uses
When systems don’t reflect how firestopping teams actually work, managing passive fire projects across the UK becomes slow, complex, and admin-heavy. With Onetrace, Elite Fire Stop now captures work on site and generates reports instantly.
20 live projects

80 operatives

the challenge
Before adopting Onetrace, Elite Fire Stop had already tried several ways of managing installation records.
At one point, operatives were taking photos on site and sending them through WhatsApp groups. Someone in the office then had to manually upload each image—an admin-heavy process that quickly became unsustainable.
On one project, a damaged phone resulted in 2,000 photos being lost, meaning the team had no evidence to support the work completed, and subsequently did not get paid.
The company then adopted various digital platforms, but each introduced new problems—slow systems, complicated workflows, and software that required extensive training for site teams.
Rather than solving the problem, these tools often added more friction.
Choosing a platform the team would actually use
Elite Fire Stop began trialling Onetrace alongside their existing tools on a handful of projects.
The difference became clear almost immediately.
Emma Green, Quantity Surveyor, Elite Fire Stop
Instead of requiring lengthy instructions or training guides, the platform was immediately usable by the teams installing firestopping on site.
“We’ve had other systems where we had to explain everything step by step. With Onetrace, from the second people log in, it’s obvious what to do.”
From manual admin to automated reporting
Originally, installation records were captured on paper sheets before being manually entered into spreadsheets by the office team. That process alone required more than a full-time role.
Now, operatives record their installations directly through the Onetrace mobile app. The result is immediate visibility across projects without the need for manual input.

Reports that once required hours of manual work can now be generated instantly.
The office team uses these reports daily—for pricing installations, reviewing project progress, and generating certification evidence.
Faster certification and clearer client visibility
Certification and compliance reporting are central to passive fire protection projects. Every installation must be supported by clear evidence of the materials used and how they were installed.
Before Onetrace, gathering this information could take hours.
Now the team simply runs a report and filters the data they need.
Emma Dryhurst, Communications and Marketing Manager, Elite Fire Stop
For larger projects, the team at Elite Fire Stop ensures clients receive timely updates without the need to wait for formal reports. They begin the project with a kick-off meeting to introduce the client to Onetrace and set expectations, as well as giving the clients direct, immediate access to their projects in the system. For larger contractors and building control teams, this creates a live view of project progress and installation evidence.
“It gives them a clear golden thread of information from the start of the project through to completion.”
Improving quality and confidence on every project
Beyond reporting, Onetrace has also strengthened Elite Fire Stop’s quality assurance process.
The company’s quality manager regularly reviews installations using the same data recorded by site teams, checking that work has been completed correctly and that installations meet specification.
If inspectors raise queries, the required evidence can be shared immediately.

A platform Elite Fire Stop “could not live without”
For Elite Fire Stop, adopting Onetrace wasn’t about introducing digital tools for the first time. The team had already tried multiple platforms.
The difference was finding one that actually worked for the realities of their business.
Today, Onetrace runs quietly in the background of the business—from site installations to certification reporting—helping the company manage dozens of projects without increasing administrative overhead.
