the challenge
A foundational tool
As CLM has grown, so has the complexity of its projects.
With simultaneous projects involving multiple sites, hundreds of operatives, and increasing client expectations, the business needed more than a way to record work. CLM needed a system that could support how projects are actually delivered—across site, office, and client teams.
Before Onetrace, that visibility didn’t exist.
In the beginning, CLM relied on manual, handwritten processes and carbon paper pads. But even after moving their process to a digital platform, the experience did not drive the efficiency CLM required as a growing business. Systems were slow, difficult to navigate, and disconnected from how work actually happened on site. Reporting required manual effort, and understanding performance across projects meant pulling together spreadsheets and piecing together data.
For the management team, this meant spending weekends pouring over raw data and manually building Excel sheets to understand project productivity and get a clear picture of what was going on.
The solution
Scaling with confidence
CLM needed a system that offered transparency and ease of use for everyone from the chairman to the operatives on site. After a two-month implementation period, Onetrace became the "single source of truth" for the business.
That shift—from reacting after the fact to managing proactively—has become central to how CLM operates. It allows teams to cover more ground, respond faster, and maintain control even as projects scale in size and complexity.
For the first time, CLM could see activity across all projects as it happened. Contracts managers no longer needed to be on site to understand progress, quality, or compliance. Instead, they could review work remotely, identify issues early, and step in where needed.

Built-in control, before work is complete
A key part of that control comes from how quality is managed.
With Onetrace, checking work isn’t something that happens at the end of a project. It’s built directly into the process. Approval workflows ensure that records are reviewed before they’re marked as complete, and if something isn’t right, it can be flagged and corrected immediately.
“With the QA check process, it goes straight back to the user that created it to make the relevant changes. So it’s saving management god knows how much time. The previous system, you couldn’t do that. It had to be done on the desktop.”
James Kruppa
This approach reduces rework and removes the need for time-consuming corrections later. More importantly, it means that by the time work reaches handover, it’s already been validated.
Working better with clients and site teams
One of the biggest changes for CLM has been how they work with clients. By providing access to Onetrace from day one, clients and site managers can see exactly what’s happening on a project without needing to request updates or wait for reports.
They can review progress, check records, and even approve work directly within the system.

Will Naylor, Chief Operating Officer
This shared visibility changes the dynamic of a project. Approvals happen faster, expectations are clearer, and communication becomes more straightforward.
It also has a positive effect for other trades. With accurate, up-to-date information available, teams can plan their work more effectively, reducing delays and improving coordination across the site.
“When I’m with building control and they ask for proof or work, all I need to do is open my phone up, drag up a drawing, and everything we’ve done on that floor is literally in the palm of my hand.”
Michael O’Neill, Project Manager
Managing performance across every project
As CLM continued to scale, visibility into performance became just as important as visibility into delivery.
Working closely with the Onetrace team, they introduced real-time dashboards to track productivity across sites and operatives. This gives leadership a clear view of output as it happens, making it easier to spot changes in performance and respond before they become larger issues.

Charlie Blancke, Director of Digital Transformation
This level of insight wasn’t available before—and it’s particularly valuable in an environment where small changes in productivity can have significant commercial impact.
“We can look at, on a day-to-day basis, a week-to-week basis, or a monthly basis, how productive our teams are. And then I can look through what's not working quite as well as other projects and focus my time where it’s really needed.”
Will Naylor, Chief Operating Officer
Faster reporting, without the overhead
With Onetrace, reporting has also improved. As data is captured consistently on site, reports can be generated directly from live information. There’s no need to reformat or rebuild documents at the end of a project, and far fewer discrepancies to resolve.

Heather Eldridge, Operations Manager
For the document control team, that means less time chasing information and more time ensuring everything is ready for handover. For clients, it means receiving clear, professional documentation without delays.
the impact
Clear improvements across how projects are delivered
Administrative workload has been significantly reduced, with teams spending around half the time they previously needed to prepare reports and resolve discrepancies. Issues are identified earlier, when they’re easier to fix, and projects move forward with fewer delays.
At the same time, visibility across the business has improved. Managers can monitor progress, quality, and performance in real time, without relying on manual updates or fragmented data.
Perhaps most importantly, confidence has increased at every level. Teams on site know what’s expected, managers know what’s happening, and clients can see that work is being delivered correctly.
Final thoughts
Partnering with Onetrace hasn’t just helped CLM improve how work is recorded—it’s changed how projects are run.
Teams can see what’s happening, act earlier, and deliver with greater consistency. Managers have the visibility they need to stay in control, while clients have direct access to the information that matters—when they need it.
That combination—visibility, control, and shared access—has become a core part of how CLM delivers projects at scale.
