Even the most straightforward-looking projects can quickly become complex when factors like information availability, client requirements and site conditions (among many others!) change as a project progresses.
It is common to use frameworks such as statuses to manage complexity, and many construction organisations develop their own custom statuses depending on the project, job or task at hand.
After collaborating closely with our users, we recognised the need to expand Onetrace’s standard statuses, enabling you to reflect your projects and associated workflows on the platform more accurately.
Onetrace users frequently upload floor plans, compartmentation, GA, and other drawings using our Site Manager feature, and drop pins which reference all key information about specific assets
For example, in a fire door remediation project, teams may need to carry out a survey, identify issues, implement fixes, and sign the project off.
A survey phase could use statuses such as "Ready for Survey," "Survey in Progress," and "Survey Complete." For the carpentry implementation phase, example statuses might be “In Progress,” “Inspection,” “Snagging”, and “Complete”.
However, the previous version of Onetrace statuses did not allow for customised naming, which made it difficult to track the project's progress or identify areas needing attention.
The new Custom Status feature addresses this challenge by allowing you to set your statuses as needed. You can now:
Craft your own statuses: Choose from a palette of colours, icons, and a unique status name to create customised statuses that accurately reflect your projects’ workflow.
Set statuses on the go: Enable your operatives to determine the appropriate status while completing job sheets, improving the flow of timely, accurate information from the job site.
Automate status updates: Configure statuses to be set automatically as your project progresses, helping you set tasks and take the next action more quickly.

Custom Statuses are a prime example, working with complementary features to provide project teams with a clear view of project status and progress. Three that you are likely to find useful when using the Custom Status feature are:
Drawings: Pinned locations on drawings display details about assets that are being worked on, such as a fire door installation. These include its status, the block, level or zone of the site, a Photostream of recorded work and Job Sheets. The customised colour of the Location Status is shown and can be filtered on drawings, making it easy to identify where to focus your attention.
To-do list: You can specify which statuses appear in to-do lists, helping operatives understand the status of the tasks they are working on when using the mobile app.
Form automations: You can set automations to change between any combination of statuses you have set up based on job sheet actions. For example, if an operative submits a job sheet and you require the work to be approved, that status could be automatically set to a customised status of “For Inspection”, which would be visible on drawings, project menus and reports.
